Catering Operations Coordinator plays a key role in supporting the
planning, execution, and administration of catering events from
start to finish. This position serves as a central point of
coordination between front-of-house and back-of-house teams,
vendors, and leadership to ensure events are accurately documented,
well-communicated, and operationally smooth. The Coordinator
manages event details, schedules, financial tracking, and systems
to support efficient workflows and high-quality event execution.
This role requires strong organizational skills, attention to
detail, and the ability to manage multiple priorities in a
fast-paced, event-driven environment. Essential Functions •
Coordinate and maintain complete and accurate event files,
including BEOs, timelines, guest counts, menus, diagrams, and
staffing plans • Serve as a primary liaison between front-of-house
and back-of-house teams to ensure clear communication and seamless
event execution • Track, update, and communicate all event changes,
revisions, and last-minute adjustments • Assist with event
logistics, including load-ins and load-outs, run-of-show timelines,
staffing schedules, and on-site operational needs • Manage shared
inboxes, calendars, and internal communications related to catering
operations • Maintain BEOs, contracts, invoices, purchase orders,
and vendor invoices • Organize and maintain digital and physical
filing systems, including event reviews, load sheets, post-event
documentation, and historical records • Support leadership with
reports, presentations, operational documents, and data tracking •
Assist with staff scheduling based on event requirements,
availability, and labor guidelines • Track employee availability,
time-off requests, and key event dates • Assist with timecard
review, labor tracking, and payroll support to ensure accuracy and
compliance • Communicate with vendors including food, beverage,
rental, and specialty service providers • Track vendor orders,
confirmations, deliveries, pickups, and returns to ensure accuracy
and timeliness • Maintain inventory of catering equipment,
smallwares, and consumable supplies • Identify shortages, damages,
or replacement needs and communicate accordingly • Review orders,
invoices, and delivery confirmations to identify discrepancies or
cost variances • Flag pricing changes, overages, and missing
charges for leadership review • Create and maintain operational
templates, checklists, SOPs, and event tools • Assist in
streamlining workflows to improve efficiency, accuracy, and
communication • Identify process gaps, operational bottlenecks, and
opportunities for improvement • Support implementation of new
systems, tools, or procedures as needed Qualifications Required • 2
years of related administrative or operations role • Strong
proficiency in Microsoft Office and/or Google Workspace (email,
calendars, spreadsheets, documents) • Strong organizational skills
with the ability to manage multiple events, deadlines, and
priorities simultaneously • Excellent written and verbal
communication skills; able to communicate effectively with internal
teams, vendors, and leadership • High attention to detail with
strong follow-through and accuracy in documentation • Ability to
work in a fast-paced, deadline-driven environment with frequent
changes • Strong problem-solving skills and the ability to
anticipate operational needs • Experience creating SOPs, templates,
or process documentation • Availability to work a flexible
schedule, including early mornings, evenings, weekends, and
holidays as business needs require Preferred Qualifications •
Experience in catering, food service, or hospitality industries •
Experience with catering or event management software (e.g., BEO
systems, POS, CRM, scheduling platforms) • Knowledge of catering
operations, FOH/BOH workflows, and event service standards •
Experience with scheduling, timecard management, or payroll support
• Familiarity with vendor coordination, rentals, and inventory
management • Basic understanding of event budgeting, invoicing, and
cost tracking Additional Notes: • Prolonged periods of sitting at a
desk and working on a computer • Prolonged periods of standing and
walking • Prolonged periods of standing, walking, working in
weather elements, sometimes unsheltered • Able to lift 50 pounds.

Catering & Events – Operations Job Status: Fulltime - Hourly
Schedule: This is a full-time position with a schedule determined
by business needs and event requirements. Hours may include a
combination of standard business hours, evenings, weekends, and
extended shifts. While some work may occur during typical daytime
hours, flexibility is required, as scheduling depends entirely on
